MTD Training – Terms & Conditions
Fees & Travel Costs
Total fees due are based on anticipated costs for accommodation and travel at the time of quoting. These may be subject to change and are outside of MTD’s control. Any changes may affect the total fees quoted.
- Mileage is charged at £0.45 per mile
- Rail fares, car parking, and toll charges (if applicable) are charged at cost
- Subsistence is capped at £20 per 24 hours, in line with HMRC’s benchmark rates for meals and incidental overnight expenses: https://www.gov.uk/hmrc-internal-manuals/employment-income-manual/eim05231
Payments – UK Delivery
- Our standard payment terms are NET 30 days from the invoice date. Payment should be made in GBP, with full payment details provided on the invoice.
- In some cases, full or partial payment may be required in advance. Please refer to the specific invoicing schedule provided.
- MTD reserves the right to revise payment terms based on credit checks or previous payment history.
- Non-payment may result in a pause or withdrawal of services until resolved.
- Any invoice disputes must be raised in writing to finance@mtdtraining.co.uk within 10 working days of receipt. The Client must provide reasonable evidence for the dispute. Both parties agree to negotiate in good faith to resolve the issue within 30 days of notice.
- If the Client’s finance team is located overseas:
- If in the EU – a valid VAT number must be provided to MTD
- VAT may apply depending on the location of service delivery (see HMRC VAT Notice 741A, Section 6.3)
Payments – Outside of UK Delivery
- 50% of the total fees must be paid 10 working days prior to delivery or product creation.
- The remaining 50% is due 30 days from the invoice date.
- If services are due within 20 working days of the terms being signed, 100% of the fees may be required upfront.
- All payments must be made in GBP via bank transfer (details on the invoice).
- Clients are responsible for any banking fees, and MTD will accept foreign bank charges.
- For overseas Clients:
- iii) If in the EU – a valid VAT number must be provided
- iv) VAT may apply depending on the service location
Cancellation, Postponement and Rebooking Terms
1. Definitions and General Principle
For the avoidance of doubt, any request by the Client to cancel, postpone, defer, reschedule, or move a confirmed training date constitutes a cancellation of the original booking.
Cancellation fees will always be assessed by reference to the original scheduled delivery date, regardless of whether the Client intends the training to be delivered on an alternative date or subsequently rebooks.
2. Notification Requirements
The Client must notify MTD Training (“MTD”) in writing of any cancellation, postponement, amendment, or change to confirmed training dates, including changes to delegate names, numbers, venue, or material requirements, no later than 14 working days prior to the scheduled delivery date. All notifications must be submitted in writing to: operations@mtdtraining.co.uk
Working days are Monday to Friday, excluding UK public holidays.
3. Cancellation Fees
Any cancellation of a confirmed training date, including where the Client requests to move or reschedule the date, will incur cancellation fees in accordance with the notice period provided.

Where a Client requests to move or postpone a training date, the original delivery date is cancelled and released, and the above cancellation fees apply irrespective of any future rebooking.
4. Additional Chargeable Costs
In all cases of Client cancellation, MTD reserves the right to recharge all non-recoverable, pre-booked expenses, including but not limited to:
- Trainer travel and accommodation
- Venue hire
- Materials production
Charges will reflect supplier cancellation policies and the original booking terms.
5. Discretionary Rebooking Following Cancellation
Following a cancellation, MTD may, at its discretion, agree to rebook the training on a new date, subject to the conditions below.
Rebooking does not negate, reduce, or offset any cancellation fees or chargeable costs already incurred.
5.1 Eligibility
Rebooking will only be considered where:
- The Client’s account is fully up to date with no overdue invoices
- The rebooking request is submitted in writing to: operations@mtdtraining.co.uk
5.2 Rebooking Conditions
Where rebooking is agreed:
- New delivery dates must be agreed within 4 weeks of the cancellation notice
- Training must be delivered within 6 months of the original scheduled delivery date
If either of these conditions is not met, the booking will be treated as fully cancelled and charged at 100% of the original training fee, in addition to any applicable costs.
5.3 Cost Adjustments
Where training is rebooked more than 3 months after the original scheduled delivery date, MTD reserves the right to review and adjust:
- Training fees
- Materials
- Trainer allocation
- to reflect changes in cost, availability, or delivery requirements.
6. Approval and Exceptions
Cancellation and rebooking terms will be enforced unless an exception is expressly approved by MTD’s Learning & Development and Finance teams.
All exceptions must be confirmed in writing to: operations@mtdtraining.co.uk
Clients are encouraged to notify MTD at the earliest opportunity to explore available options and minimise costs.
Additional Costs for Cancellations
If the Client cancels, all pre-booked travel, accommodation, and venue hire made by MTD training as per the signed terms will be chargeable to the Client, in line with each supplier’s cancellation policy.
Supplier Forms & Onboarding
MTD will aim to complete any requested supplier forms within 14 days of receiving the request. If onboarding is delayed due to late notification, it may impact the agreed delivery timeline.
Force Majeure
MTD will not be held liable for any disruption caused by a Force Majeure Event. In such cases, we will explore alternative options where possible. If alternatives are unavailable, our standard cancellation and postponement terms will apply.
Force Majeure Event includes (but is not limited to): natural disasters, war, civil unrest, government action, epidemics/pandemics, and service interruptions. This does not include lack of resources, labour, or preventable circumstances.
Data Protection
MTD will only process data necessary to deliver the agreed training/services. We will not share data with any third parties without written consent.
All delegates are added to MTD’s Management or Sales Academy and our ‘Hints & Tips’ email list (included in the programme cost). You can unsubscribe at any time or request removal by emailing operations@mtdtraining.co.uk.
MTD retains personal data in line with our GDPR policy, available on request.
Subcontractors
MTD does not subcontract data processing. Our associate trainers are contracted directly and bound by confidentiality agreements.
Trainer access to delegate names, work emails, phone numbers, and job roles may be required to support delivery. Clients may opt out by informing MTD when signing the terms.
